The role
We are seeking a full-time office administrator to join our team.
You will play a key role in managing the day-to-day needs of our small office and supporting the smooth functioning of the company. You will have excellent organizational and prioritization skills, strong written and verbal communications skills, and take pride in the efficiency and accuracy through which you work through your to-do list. You will work collaboratively with a highly engaged and supportive team. You will be scrupulous with details and follow-through.
Your responsibilities will include:
- General office management, including liaising with the building manager, couriers and visitors, and purchasing supplies
- Executive assistance to the company’s co-founders (including travel and hospitality bookings)
- Booking meetings with both internal and external parties on behalf of senior team members
- Drafting contracts from templates and issuing them through Docusign
- Maintaining records in databases such as Hubspot and Mailchimp
- Sharing information with our team and authors through email, Slack, and Google Drive
- Processing and responding to incoming inquiries
- Arranging couriers and organizing mailouts
- Organizing team social events and handling setup of virtual Zoom meetings for our author community
- Updating the Page Two website with our books and our latest news using WordPress
- Data entry for award and review submissions, CIP data, ISBNs, and other tasks as needed
- Handling day-to-day administrative requests from senior leadership team
- Supporting the publicist with media campaign tracking and reporting
- Research and creating documentation as needed to support a variety of projects
This position reports to the Director of Operations.
What we’re looking for
Experience required:
- Minimum two years of administration experience in a professional environment
- Strong written and verbal communication skills
- Excellent at balancing multiple priorities and meeting deadlines, and managing your own deadlines
- Works well in a team environment
- Strong working knowledge of MS Office Suite and Google Suite
What we offer
Salary range: $45,000 – $50,000, depending on experience.

Start date
The position has a flexible start date in late July or early August.
Location
Our office is based in Vancouver, where we offer a hybrid work-from-home and in-office environment. Since you will be responsible for running the office, we require you to work on-site, with some flexibility as needed.
